Homeowners: the VendorTap app
Booking, managing and paying for work orders in the VendorTap app.
How do I create a work order?
On the Work Orders or Dashboard screen, tap the plus sign in the lower right corner. Choose your address and the service category, describe what you need, add photos if you have them, and tap Submit.
How do I cancel a work order?
From the Work Orders or Dashboard screen, open the work order and tap Cancel. Enter a reason, then tap "Yes, I'm sure" to confirm.
How do I reschedule a work order?
Open the work order from the dashboard, tap Reschedule, enter a reason and confirm with "Yes, I'm sure".
Can I create more than one work order?
Yes, even for the same address. Each service you need gets its own work order.
What is the dashboard in the app?
The dashboard shows all of your open work orders. Tap the plus icon there to create a new one.
How do I send a message on a work order?
Open the work order, go to the Messages tab, type your message and tap the arrow to send it.
How do I add photos to an existing work order?
Open the work order, tap Take a Photo or Add Photos, then tap Upload to attach the new images.
How do I call the vendor on a work order?
Open the work order and tap Call at the bottom. Your phone app opens with the number ready.
How do I contact a vendor after the work is completed and paid?
Go to History, then Paid, open the work order and tap Call.
How do I pay for a completed work order?
Open the completed work order, tap Pay Now and follow the prompts until the payment is complete.
How do I favorite or unfavorite a vendor?
Tap the star icon on the work order, or after you pay, to favorite a vendor. To unfavorite one, go to Profile, then Favorites, and remove them, or tap the star again on a work order. A favorited vendor is assigned automatically to your new work orders in the categories they serve, when they are available.
Can I use a vendor I have used before?
Yes. Favorite them, and they are assigned automatically to new work orders for that service when they are available.
How do I add another address?
Tap your profile icon, choose Addresses, then Add Another Address and fill in the details. If the address is outside our service area you will see a note, but the address is still saved.
Can I add an address for a rental property?
Yes. You can add the renter's contact information when you create the address.
Can I choose a different primary address?
Yes. Add the new address, then delete the old one.
How do I delete an address?
Go to Profile, then Addresses, and tap Delete next to the address you want to remove.
What happens if I delete my primary address?
If it is the only address on your account, you cannot create work orders until you add a new one.
How do I add a profile picture?
Tap your profile icon and choose Account. Tap Update my picture, choose From Photos or Take Picture, and upload it.
Will I get notifications if I am logged out of the app?
Yes, if you allowed push notifications during setup. If you did not, the app reminds you to turn them on.
How do I delete my account?
Go to Profile, then Account, tap Delete My Account and confirm when prompted.
Vendors and their teams: the admin dashboard
Work orders, scheduling, team members, customers and payments in the VendorTap admin dashboard.
How do I view a specific service area on the dashboard?
In the main menu, open the All Areas drop-down under your business name. It lists every area you are active in. Choosing an area filters Dashboard, Work Orders, Team, Customers, Customer Invites and Calendar to that area; choosing All Areas shows everything.
How do I view work orders?
Click Work Orders in the left menu, then choose a status: Assigned, Reschedule, Scheduled, Started, Canceled, Completed or Paid. The list shows every work order in that status.
How do I find a specific work order?
In Work Orders, use the search bar at the top right. Search by client name or work order number; the work order number is the fastest way.
How do I send a message to a customer?
Find the customer's work order in Work Orders and click View/Edit. Scroll down to Messages, click Add Message, type the message and click Save. The customer sees it on that work order.
Can I put notes on a work order without the customer seeing them?
Yes. Use Internal Notes, at the bottom left of the work order when you click View/Edit. Internal notes are visible to the assigned technician, admins, area managers and schedulers, but not to the customer. Anything entered in Messages is seen by the customer.
Can a scheduler add notes to a work order?
Yes, the same way a vendor admin does: open the work order with View/Edit, choose Internal Notes or Messages, add the note and click Save. Internal notes are hidden from the customer; messages are seen by everyone on the work order, including the customer.
How do I schedule a work order from the Assigned tab?
Click View/Edit on the work order, click Schedule at the top right, and pick a time on the calendar.
How do I reschedule a work order from the dashboard?
Open the work order with View/Edit, click Reschedule at the top right, and choose the new time.
Can a technician reschedule a work order?
Yes, if it is assigned to them. In the app, the technician opens the work order, taps Reschedule, enters a reason and taps "Yes, I'm sure". The work order then moves to the Reschedule status in the admin dashboard.
Can I cancel a work order?
Yes. Technicians can cancel work orders assigned to them, and admins and schedulers can cancel work orders too. Everyone must give a reason.
Can I schedule several technicians at the same day and time?
Yes, on different work orders. When you schedule a work order for a time slot, only the technicians who are free at that time can be selected.
Can I assign more than one technician to a work order?
No. Each work order has one assigned technician.
How close together can I schedule the same technician?
Jobs for the same technician on the same day need at least 30 minutes between them, so they have time to get to the next appointment.
What if a customer sends me the wrong kind of work order?
Reach out to the customer first to clarify what they need. If the job clearly is not in your service category, contact your VendorTap area manager, who can reassign it to the right category.
How do I add line items to a work order?
In Work Orders, open the work order with View/Edit. Under Line Items, click Add Line Item and enter the details and amount. Add more line items the same way, then click Save Line Items.
How do I request a payment on a large job?
Open the work order with View/Edit, go to Line Items and click Edit Payments, then Request a Payment. Enter what it is for (a deposit or a partial payment, for example) and the amount, and click Save.
What are payment requests for?
They let you collect partial payments, to cover material costs or to split a large job into amounts that are easier for the customer to manage.
How many payment requests can I make on one work order?
There is no limit. For example, you can ask for a deposit first and then a payment to cover materials.
How do I add a technician to my team?
Select Team in the left menu and click Add Team Member. Enter their name, work email and phone number, choose the Technician role, select the areas they will serve, pick a color for them and click Save. VendorTap emails the technician to download the app and finish signing in. Until they do, they appear under Team Invites; after that, under Team Members.
How does a technician get into the app?
After you add them as a team member, the technician downloads the VendorTap app, signs in with the work email you used for them, and creates a password.
How do I add a scheduler or a store manager?
Select Team in the left menu and click Add Team Member. Enter their name, work email and phone number, choose the Scheduler or Store Manager role, select their areas and click Save.
Can a store manager add technicians?
Yes. A store manager adds technicians from Team, then Add Team Member, the same way an admin does.
Can a scheduler add technicians?
No. Vendor admins and area managers can add team members, including technicians.
How many technicians, schedulers and store managers can I add?
There is no limit on any of them.
Can I choose which service areas a technician or store manager covers?
Yes. Choose their areas when you add them as a team member. To change the areas later, go to Team, click View/Edit on the person, add areas from the Areas drop-down or click the x on an area to remove it, and click Save.
Can a scheduler add photos to a work order?
No. The customer can add photos until the work order is started. Technicians can add photos from when it is started until it is completed.
Can admins see the whole team across all service areas?
Yes. Vendor admins see every team member in every area, and the Team tab shows all of them even when you filter by area.
Do store managers only see their own team?
Yes. Store managers see only the team members in their business's service areas.
Can I invite a customer to the app?
Yes. Go to Customer Invites, click Invite Customer, fill in the customer's name, email, phone number and address, and click Save. The customer gets an email with a link to download the VendorTap app.
Can I bulk import a customer list?
Yes. Go to Customer Invites, click Bulk Import, choose a .csv or .xlsx file and click Upload File.
How do I create a work order for a customer?
Click Customers and find the customer (the Search by Client box at the top right helps). Click Create Work Order. If your company serves more than one category, choose the category, enter a description, choose the right address if the customer has several, and click Save.
